Billing & Collections/Conflicts Analyst

Growing mid-sized law firm with state-wide practice seeks top-notch candidate for its Billing & Collections team in the San Francisco office. Attention to detail, strong organizational skills, as well as excellent math, writing and communication skills are required.

Essential duties and responsibilities include:

  • Open new clients and matters.
  • Create and revise protocols around new clients and matters and conflicts.
  • Review new business intake forms and conflicts requests for accuracy and ensure work product completeness.
  • Generate clear & concise conflict of interest searches, using firm database for all new clients/matters and new hires.  Generate related reports for use throughout all levels of the Firm.  Compile and filter information found for review and decision making.
  • Monitor the integrity and accuracy of the data maintained in the firm databases for managing conflicts.
  • Follow-up with appropriate lawyer(s) and/or Firm personnel as required to perform functions related to new business intake and business development.
  • Facilitate conflict clearance process by communicating and collaborating with all involved in the process, including communicating requests for additional parties from lateral staff, clients, and others.
  • Coordinate implementation of ethical walls and follow-up on the completion of any needed activities (e.g. waivers) to maintain compliance with the CA Bar Professional Rules of Conduct.
  • Manage client accounts and respond to client inquiries.
  • Prepare various financial reports with accuracy and strong attention to detail.
  • Prepare audit letter responses to clients.
  • Responsible for all client billing activities including production of prebills, reviewing for accuracy, adherence to client billing guidelines to distribution of final invoices to clients.
  • Draft letters and complete filing to support billing activities.
  • Assist with other duties and special projects as assigned.

Qualifications include:

  • Exposure to/or 2+ plus years of legal billing and/or collections experience required.
  • Ability to handle high volume of work, including ability to multi-task and prioritize work efficiently.
  • Ability to work in an interactive team environment and apply strong client service skills.
  • Ability to effectively interface with attorneys, staff, and clients.
  • Excellent written and verbal communication and interpersonal skills.
  • Excellent analytical, problem-solving and research skills.
  • Able to exercise independent judgment.
  • Able to work efficiently and independently with a high degree of accuracy and professionalism.
  • Demonstrated ability to maintain strict confidentiality of internal and personnel affairs.
  • Demonstrated proficiency in MS Office Suite (Outlook, Word and Excel), Adobe Acrobat.
  • Experience with Juris or other legal billing and conflicts software a plus.
  • Experience with conflicts, conflicts protocols, and conflicts checks a plus.
  • Experience in learning new systems and developing and implementing new processes a plus.
  • SQL or Access writing skills a plus.
  • Bachelor’s degree required within the areas of Accounting, Information Management or related field of study.
